How does virtual bookkeeping work?

  • You run your day to day business as usual, make decisions, write checks, send & collect payments, etc.

  • Once we have a service agreement in place, you add me as an Accountant User to your QBO file (or I help you set it all up if needed)

  • I monitor/categorize transactions coming through your bank feed as you incur costs, receive payments, & make daily transactions.

  • You provide me with read-only online bank access or monthly statements in PDF format (uploaded to a secure shared site). I reconcile each bank/credit card account monthly, and I provide you with agreed-upon reports (Profit & Loss, Balance Sheets, etc.) which gives you a good idea of how your business is performing.

  • I compile & periodically send to you a list of transactions where clarification is needed on what was purchased or what was sold.

  • You keep track of your own receipts, but I can help you with digital organization so it’s ready for your tax preparer.

  • All work is done virtually from my own office

  • Most monthly routine work will be completed within 10 business days after receipt of all required supporting documentation.

  • Email is my preferred form of communication (for questions & answers, not for sending bank statements!) - Not only to have a written record for both of us to refer back to, but also for matter of convenience. I will absolutely be available meet with you at certain times via phone or virtual conferencing software (i.e. Zoom or similar), but for simple questions or correspondence, email is preferred, and often necessary.

What software is used?

QuickBooks Online(QBO) only at this time. This allows me to focus my efforts on learning (and getting really good at) one type of program, in order to better serve my clients.

Are you my employee?

No, I work as an independent contractor and own my own business, in which I provide services to you on a contract/project basis. I will provide you a W-9 form, and your business will send me a 1099 form at year-end. I receive no employee benefits, and I do not work a set schedule or in your office.

What do I need to sign?

  • A simple Service Agreement (signed by both of us) that lists exactly what services you will be receiving, and outlines what each party is responsible for to help prevent any miscommunication or assumptions.

  • You can add or subtract services at any time, and in which case a new Service Agreement will be signed.

  • A credit card/bank ACH recurring payment authorization form - if ongoing monthly services are chosen.

Can I cancel services anytime?

Although it is our goal to be sure you are beyond satisfied with our services, you are under no obligation to continue services if you no longer wish to. Yes - you can cancel any time provided your payment account is up-to-date with the services that have been provided to date.

Who purchases and pays the subscription fee for the accounting software?

It is the client’s responsibility to pay for the cost of their chosen QBO subscription level. I can help find the best option for your business, and if you engage with us as your bookkeeping firm, I may even be able to snag you a discount as a new QBO user.

Do you file any taxes?

I do not - I’m not qualified, nor do I have any desire to do your taxes or give tax advice…However, I can refer you to a qualified tax preparer if you are local to me.

I also do not file Sales Tax for you, however, I can assist you with getting it setup in QBO and tracking correctly if that is a need you have.

Do you offer payroll services?

I do not offer direct payroll services at this time - However, I will work with your 3rd party payroll provider (outside of QuickBooks…. i.e. OnPay, Gusto, Patriot, ADP, etc.) to record monthly payroll entries.

I don’t really know what I need, can you recommend specific services?

Yes! After an initial (FREE) consultation to learn details about your business needs and what your goals are, I should be able to recommend at least a starting point.

Often, an in-depth review of your books will be what I will recommend as a place to start, especially if your “books are a mess” or you need "to get caught up”. Think of it as running diagnostics - to determine what needs to be fixed before moving forward. This is a paid service, you receive written results of our findings and may choose to do what you wish with it.

Depending on the results of an in-depth review, a clean-up may be recommended or required before we can move forward with regular monthly services. We can’t provide clean financial statements in the future if prior numbers are incorrect.

If you don’t have any bookkeeping systems in place - I can help you set up your new QBO file and help you get organized while streamlining your processes.

How much will this cost?

Well, it depends. Really - No two businesses are the same, and neither are their bookkeeping needs. I will work with you to create a customized price for ongoing services, depending upon many factors, including your business size, gross revenue, number of bank/credit card/loan accounts, and the level and complexity of services provided.
